Draft — subject to legal review and approval before launch
About this policy. ImpactEm currently operates as a marketing website. Several features described here (account creation, profile publishing, subscriptions, AI receptionist, and wallet billing) are part of the connected ImpactEm application, which is being integrated separately and is not yet live on this site. Where a practice is planned rather than currently active, this policy says so. This is a draft for legal review and is not a finalized legal policy.
1. Overview
ImpactEm is developed and operated by Sudden Impact Agency ("SIA", "we", "us", or "our"). We are committed to being transparent about the information we collect, how we use it, and the choices you have. This Privacy Policy applies to the ImpactEm marketing website at impactem.io and, when connected, the ImpactEm application at app.impactem.io. It does not apply to third-party services we integrate with, which are governed by their own policies.
2. Information You May Provide
When you contact us, request information, or join the priority list, you may provide: your name, email address, phone number, business name, reason for contacting us, and your message or notes. When the connected application is available, creating a free online business profile may also involve your business details such as services, operating hours, location, and branding.
3. Account Information & Authentication
Account creation and sign-in are part of the connected ImpactEm application and are not yet active on this marketing website. When available, account information may include your login credentials and authentication data. We do not process account authentication on this marketing site today; the "Start Free" and "Sign In" actions currently let you join the priority list and do not create accounts.
4. Customer-Provided Business Content
When the connected application is live, you may upload or provide business content such as photos, logos, service descriptions, social media links, and other profile materials. You are responsible for ensuring you have the rights to provide that content. This content is used to build and display your business profile.
5. Information Processed Through Subscribed Services
Subscriptions (Social Media Studio, Reputation & Reviews, Leads & Appointments, Lead Generation & Reactivation, Business Growth, and AI Receptionist plans) are part of the connected application and are not yet operational on this site. When active, these services may process information such as social content, review data, lead and appointment details, campaign contacts, and customer communications you direct through the platform.
6. AI-Assisted Content & Communications
Some ImpactEm services use AI to assist with content generation, review responses, and customer communications when the connected application is available. Inputs you provide and outputs generated may be processed to deliver these features. We do not claim that AI outputs are error-free; human review of AI-generated content is recommended before publishing or sending.
7. Call Information, Recordings & Transcripts
The AI Receptionist plans involve call handling. If call recordings, transcripts, or call metadata are processed, that processing occurs through the connected application and its underlying service providers when those features are operational. We do not currently process call recordings or transcripts on this marketing website. Applicable consent and retention practices for call data will be confirmed before those features launch.
8. Payment Processing & Subscription Information
Payment processing is handled through the connected application and its payment provider when subscriptions are operational. We do not process payments or store full card numbers on this marketing website. Billing-related information, such as subscription status and authorized payment method references, may be maintained to operate subscriptions and automatic wallet refills once billing is live.
9. Usage Credits & Billing Records
ImpactEm credits and wallet activity (including credit packs and automatic refill events) are part of the connected application. When active, records of credit purchases, refills, and metered usage may be maintained to support billing and usage reporting. These features are not yet operational on this marketing site.
10. Cookies, Analytics & Similar Technologies
This marketing website uses analytics and tracking technologies to understand visits and form activity. For example, form submissions (including the contact form and priority-list sign-up) may be sent to our customer-relationship platform for lead follow-up, and analytics may collect visit data such as pages viewed, device type, and approximate location. We do not knowingly collect more information than is described here, and we do not claim this site collects no information — it does collect the analytics and form data described above. Cookies or similar identifiers may be used to support these functions.
11. Service Providers & Third-Party Integrations
We work with service providers for analytics, customer-relationship management, and (when live) payment processing, email/SMS delivery, and AI/voice services. These providers process information on our behalf under their own terms. We do not sell your personal or business data to data brokers. Specific providers and their configurations will be confirmed as integrations are connected.
12. How Information Is Used
We use information to respond to inquiries, operate and improve the website and (when live) the application, deliver subscribed services, process payments and credits, communicate with you, and maintain security. Marketing communications, if any, will be sent only where you have consented or as otherwise permitted.
13. Data Security
We take reasonable measures to protect information in line with its sensitivity. Because this is a draft policy, we do not specify particular encryption standards, certifications, or guarantees here. No method of transmission or storage is completely secure, and we do not warrant absolute security.
14. Data Retention & Deletion Requests
We retain information only as long as necessary for the purposes described here or as required by law. Because retention periods depend on the connected application's configuration and applicable legal requirements, specific retention durations are not stated in this draft. You may request deletion of your information by contacting us; we will respond in accordance with applicable law.
15. Privacy Requests & Contact
To submit a privacy request, ask about your data, or request access, correction, or deletion, contact us at team@suddenimpactagency.io. We will review and respond to verified requests as required by applicable law.
16. International Users
ImpactEm is intended primarily for businesses in the United States. If you access ImpactEm from outside the United States, your information may be processed in the United States. We aim to handle information in line with applicable privacy requirements; specific international compliance positions will be confirmed during legal review.
17. Policy Updates
We may update this Privacy Policy as the connected application is integrated and as practices evolve. Material changes will be reflected by updating the "Last Updated" date above. Continued use after changes indicates acceptance of the updated policy.
18. Contact Information
For any privacy questions, contact Sudden Impact Agency at team@suddenimpactagency.io.
